Job Description

Job Scope: The technical coordinator is accountable to follow up on procurement/purchasing activities while keeping proper records. In addition to performing other administrative functions related to the technical department (Monthly report, billing report, budget summary, meetings' summary etc...)

Key activities and responsibilities:
Quality control and assurance:

  • Execute limited procurement tasks, compare and evaluate offers to achieve best rate and cost savings while meeting specifications. 
  • Report daily activities and outstanding/critical issues to the direct manager. 
  • Abide and implement the technical policies and procedures and ensure rules are respected at all times. 

Administrative:

  • Contribute in executing tasks related to the CAFM system, when requested; covering equipment maintenance information update, validation of work requests.
  • Contribute in following up for yearly maintenance contracts.
  • Prepare the billing file in coordination with the team leaders, when requested.
  • Coordinate and follow up with the procurement team on material purchases (from specifications’ definition up to delivery).
  • Coordinate with the team leaders on the monthly attendance schedule preparation for the technical team.
  • Contribute in preparing the CAPEX and OPEX lists and provide an “up to date” expenses’ summary.
  • Coordinate Technical meetings; execute minutes of meetings’ summary and action plan accordingly.
  • Follow up on tenants’ preventive maintenance certificates in coordination with the Operations Department.
  • Handle all invoices, receivables from suppliers, log sheets, pending approvals, e-archiving and processing.
  • Follow up with suppliers on late deliveries and verify bills with purchase orders.
  • Do purchases requests when requested.
  • Manage petty cash reports.
  • Create and maintain an efficient filing system of all documents.
  • Assist the Technical manager in tasks such as research, internal communications, E-filing, inventories and other similar tasks required by team members.

Other:

  • Respond to any emergency when needed.
  • Establish solid relationship with the Operations’ team and ensure constant coordination for successful results.
  • Perform other job related duties as assigned.

Requirements

Qualifications and requirements: 

  • Education: Bachelor's degree in Business Administration or equivalent
  • Certificates: Technical Certificate in Mechanical or Electrical is a plus 
  • Experience: 1year of relevant experience.
